User guide DECT 4074 GB/GB Ex, GH/GI, GC Alcatel 4400 You now have a DECT 4074 GB/GB Ex, GH/GI, GC terminal that will give you simple and easy access to all the services and functions provided by your Alcatel 4400 system. This user guide gives you: - a full description of your terminal, - an alphabetic index of the services and functions available, - progressive practice in the use of these services and functions, divided into five sections: General Your calls For your convenience While you are away Using your terminal in GAP mode (description of utilisation and partial operation with a DECT system other than your Alcatel 4400). Whatever you need from a telephone system, your DECT terminal and your Alcatel 4400 system will provide it. Keys can be programmed to customise your terminal and this is described on page 52. All programming functions are presented by group, on pages 53 to 56. 2 System information Depending on your system configuration, your terminal can be single-line (no line keys) or multi-line (you have two line keys). On a multi-line terminal, the enquiry call function can be configured in one of two modes: - single-line (or PABX) mode, - multi-line (or key system) mode. This difference notably implies different activation of the enquiry call, broker call and transfer functions, depending on the selected mode. Note: for further details concerning your system configuration, consult your system manager. 3 4 DESCRIPTION OF TERMINAL 5 Display screen Your telephone has a display screen, with two lines of 16 characters each. The 1st line gives general information and the 2nd line shows the symbols for the keys programmed and the status of the set. - Terminal idle (display screen also obtained by pressing ): 1st line: date and time or blank. 2nd line: set locked, lock keypad, radio signal level, battery charge status - During a call: 1st line: informations sur votre correspondant et sur la conversation en cours. 2nd line: radio signal level and symbols indicating current call status. When the terminal is idle, it goes into standby after a few seconds, and the display screen then only shows the receive symbol and the battery symbol. Line keys In multi-line configuration, the set has two line keys which can be used to make or receive a call. A B OFF : single press: access personal directory. long press: access "Call by name" function. : long press: send DTMF codes (during call). : long press: access mobile customisation. : during call: adjust audio volume. no call: lock or unlock keypad. : long press: access local customisation menu. C 8 8 TUV : models 4074 GI and GC: long press: to switch directly from ringer mode to buzzer mode (and vice-versa). The active mode is indicated: long beep: ringer active, short buzz: buzzer active. Programmable keys Two programmable keys are provided. These make it possible to: - call an internal or external number directly, - activate a feature. 1 2 Default options: 1 1 2 2 (single press ): Key unassigned (long press ): Message Green LED The green LED indicates: - an incoming call: LED flashes at call ringing frequency. This facility is useful when the ringer has been deactivated, - leaving radio coverage zone: LED flashes. 9 Headset socket (only on models GH and GI) The headset socket enables a headset (microphone and earphones) to be connected. When the headset is connected, the terminal microphone and earphones are automatically deactivated. Only headsets recommended by Alcatel should be used. If other headsets are used, Alcatel declines all responsibility for the consequences. If a "Headset function" programmed key is available, calls can be received "handsfree". Symbols corresponding to keys Communication Incoming call. Alcatel system radio coverage is provided by a number of base stations, transmitting within a radius of 20 m to 150 m (depending on the environment). The area covered by a base station is called a cell. Routing Outgoing calls can be made or incoming calls can be received, in any cell. This telephone is not designed to be used inside a vehicle. Radio transfer Radio transfer enables a user to move between cells during a conversation. This function is automatic, with no loss of communication. In some cases, slight crackling may be audible in the telephone at the instant of transfer. 18 Conditions of use of telephone You are about to use DECT type equipment, officially approved for private use between portable telephones and a private exchange (PABX), with no wire or domestic terminal connections. In addition to the approval of the equipment, the following utilisation conditions must also be observed, notably due to the use of radioelectrical frequencies: - the use of DECT equipment is not guaranteed against interference generated by other authorised users of radioelectrical frequencies, - DECT equipment can only be used for links between fixed geographical points when the said points are not permanent installations, and the equivalent isotropic power radiated at the antenna shall not exceed 50 mW, - DECT equipment (type PABX without wire link with more than two public lines) shall be installed by a technician approved by the ministry responsible for telecommunications, as such installations are considered to be complex installations, - the conditions applicable to DECT equipment access to a telepoint network shall be defined in an contract with the authorised telepoint network operator concerned. This terminal must only be used with an Alcatel system. Do not expose the terminal to severe environments (rain, salty air, dust, etc.). Terminal operation is not guaranteed outside an ambient air temperature range of - 20°C to + 55°C. 19 Use of terminal Preparation for use Delivered terminal specifications are: - terminal 4074 (models 4074 GB/GB Ex or 4074 GH/GI or 4074 GC), - battery (NiCd 600 mAh or NiMH 1200 mAh), - battery box (depending on model). Charge the terminal by installing it in its support (see p. 27). Switching on the terminal To switch on the terminal, press key until an audible "beep" is heard and the display screen lights up. A short startup sequence is then run. If the terminal cannot be switched on or if the battery symbol is flashing, then either the battery needs charging or it is not fully inserted into the DECT set. If the word "OUT" is shown on the display screen, then you are outside the area of coverage. ON To switch off the terminal, press To lift the handset, press To hang up, press OFF OFF (long press). ON 20 To facilitate use, keys with dual functions are used as follows: - left-hand function on key: single press validated by a beep, - right-hand function on key: long press (at least 1 second), validated by a second (lower note) beep. Do not switch on the terminal close to gas or inflammable liquids. Carrying the terminal To avoid losing the terminal, adopt the habit of clipping it onto your belt. The 4074 GH/GI terminal is equipped with a casing which protects it against impact. Protecting your terminal with a case Your telephone can be kept in a case, to protect it from impact, dust, liquids, etc. The use of a case is strongly recommended in severe environments. Various models of case are available for the 4074 range. For specific information concerning the various types of case, consult your installation technician. CAUTION: The belt clip must be removed from the telephone to enable it to be easily inserted and removed from the case. To remove the belt clip, on telephone models 4074 GB/GB Ex and GC, unscrew the mounting screw and carefully keep the belt clip for future use. On the 4074 GH/GI, first unlock the belt clip using the tip of a ball-point pen, pushing the top tab backwards, behind the clip. Then release the clip by sliding it down the telephone. 21 Locking the keypad of the terminal To prevent accidental pressing of the keys, when the terminal is in standby the keypad can be locked. , followed by ; symbol lights up, indicating that the 1 2 keypad is locked. The keypad is automatically unlocked if an incoming call is received (and will be locked again at the end of the call). To unlock the keypad, the same procedure is used, and symbol disappears. ABC Backlighting of display screen and keys (terminal Alcatel 4074 GH/GI only) A backlighting feature is provided for the display screen and the keys, allowing the terminal to be used in the dark. The backlighting is activated by a long press (2 beeps) on The backlighting goes out when no key has been pressed for around 15 seconds. When another key is pressed, lighting is reactivated. The same procedure is used to deactivate the backlighting. This function can be activated or deactivated while a call is in progress. In this case, the pressing of the key is not validated by a beep. Note: Excessive use of this function will discharge the battery prematurely. 22 Beep other than during conversation These beeps are specific to DECT sets: - 2 beeps indicate that the user is leaving the area of coverage. Conversation can only be continued if the user remains inside, or re-enters, the area, - 4 beeps indicate that the portable terminal battery needs charging. Symbol also flashes on the screen. Cleaning the terminal The terminal does not require any specific servicing. However, it can be cleaned using a damp soft lint-free cloth. Do not use soap or detergent, which could affect the colouring or surface finish of the terminal. Installing the battery pack in the terminal When installing the battery pack, do not use excessive force as no particular force is necessary. Engage the lower part first, then push the upper part gently until it clicks into position. 23 Charging unit The charging unit must be close to an easily accessible mains power socket. Characteristics The terminal is supplied with a battery unit (depending on the model, 1200 mAh NiMH or 600 mAh NiCd). This unit contains polluting substances and should only be discarded at a specific disposal point. Battery life: - using the NiCd battery: in standby, inside the area of coverage: 30 hours, in continuous conversation: 6 hours, - using the NiMH battery: in standby, inside the area of coverage: 55 hours, in continuous conversation: 10 hours. Note: - A new battery must be charged for at least 12 hours, with the terminal off, to become fully operational. - Batteries only achieve full capacity after around 10 charge/discharge cycles. - So that the battery does not lose capacity, we recommend completely discharging it at least once every two months. Simply use your terminal without placing it in its charging unit until the low charge indication appears. You can then completely charge it. 24 - Do not use non-rechargeable batteries. Attempts to charge will be unsuccessful and can seriously damage the terminal and/or charger. Charging unit 4071DA Charging unit 4071DA can be used as a stand for the terminal while the battery is being charged. The terminal can be ON or OFF. 3 1 4 2 5 The charging unit comprises: - 1 position for the terminal (1), - 1 LED indicating battery charge status (2), - 1 position for a spare battery (3), - 1 LED indicating the charge status of the spare battery (4), - 1 mains power connection cable (5). Note: - There can be two minutes difference between the fully charged indications given on the terminal screen and on the charger. This in no way affects the battery charge level. 25 - If a terminal without a battery is inserted into charging unit 4071DA, then the indications of LED (2) are obviously invalid. - A wall-mounting kit is available for the 4071DA (contact your installer). Charging unit 4071BA Another charging unit is also available, with no spare battery position and no indicator lights. This unit is the 4071BA. If you are using charging unit 4071BA, charging information is displayed on your terminal screen. Charging unit 4071 BC (for model 4074 GC only) Another charging unit is also available, with no spare battery position and no indicator lights. This unit is the 4071BC. 1 2 This charging unit comprises: - 1 loudspeaker (1), - 1 loudspeaker volume control knob (2). 26 If you are using charging unit 4071BC, charging information is displayed on your terminal screen. Charging the terminal Insert the terminal into the charger (1). This initiates a fast charge phase which lasts around 90 minutes. - If the terminal is fully discharged, it will be OFF. LED (2) lights up green, and then changes to red. - If the terminal is partially discharged, it may be OFF or ON. In this case, LED (2) lights up red. When the portable terminal is charged, the "trickle charge" phase is initiated. The LED then goes green and the terminal may be used. Note: Do not remove the terminal from its charging point frequently or unnecessarily. - When the terminal is inserted into the charging unit, the LED lights up red, indicating the start of the charging phase. - Charging is only possible between + 5°C and + 40°C, and is optimum between + 10°C and + 30°C. - The first time the telephone is used, if, after charging for 5 minutes, the battery symbols are not flashing on the screen, insert the battery only in the charger rear housing and leave on charge for at least 2 hours (overnight is recommended). 27 - If the terminal is not going to be used for a long period of time (more than 8 days): . switch it off and leave it on the charger or . if the terminal cannot be kept in the charger, then remove the battery pack and store it separately, or place it in the rear compartment of charger 4071DA. Use with AA batteries Depending on the model, your terminal is supplied with a case for AA batteries, which provides a permanent solution to any potential battery problem. Any 1.2 V, NiCd type AA rechargeable battery can be used. However, the battery charge will last at least 4 hours. To insert the rechargeable cells in the case, release the support bar and install two AA cells, in compliance with the polarities shown in the bottom of the box. Re-engage the retainer bar. The battery box can now be charged, either in the terminal or in the spare battery position in the charger. - Do not use different types of cell in the battery box, or cells with different levels of charge. - Only batteries recommended by Alcatel should be used, and these batteries should only be charged using chargers supplied by Alcatel. If these recommendations are not observed, Alcatel declines all responsibility. 28 Charging the spare battery (charging unit 4071A) Insert the battery, preferably fully discharged, into its position in the charger (3). LED (4) then lights up red and the battery is charging slowly. This phase lasts around 8 hours. When charging is complete, the LED is green. If the LED does not light up, or flashes between green and red, or does not show red, the battery is either defective or incorrectly inserted. When the battery is charged, the "trickle charge" phase starts and the LED goes green. The battery can then be used normally. Note: The battery may become warm when it is charged. This is not abnormal. Protection is provided against battery overheating, to ensure a normal working life (only for the enclosed battery unit). NEVER SHORT CIRCUIT THE BATTERY TERMINALS. THIS CAN SERIOUSLY DAMAGE THE BATTERY AND EVEN RESULT IN FIRE. 29 30 YOUR CALLS 31 CALLS Making an external call Dial the number directly or press a line key (multi-line terminal). Dial 9 followed by the number required. The number dialled is displayed on the screen. The line key symbol indicates the call status: Note: 9 is the default code to obtain an outside line. Consult the code to be dialled for the required function (see table of codes) or (long 0 1 2 press) followed by and . The required codes are then displayed on the screen. For transition between the functions, press or or OQZ ABC C Making an internal call Dial the required number directly, or press the programmed key. The screen indicates the name of the person called. If the number does not answer, you can: request callback, leave a voice message. For these actions, dial the corresponding function code or press the corresponding programmed key. 32 Calling the operator Dial 0. Note: 0 is the default code for the «Attendant call» function (see table of codes). To consult the codes, see Note on p.32. Making an internal call using the persons name (Call By Name) (long press). 1 To search by name: To search by initials: 2 Dial (at least) the first two letters, or the initials (first name, name) of the person to be called: A B ABC to enter a letter, press the key corresponding to the letter the appropriate number of times, depending on the position of the letter on the key. e.g.: to enter the letter L, press key 5 three times. To enter, consecutively, two letters on the same key, wait for the cursor to move forward one space and then enter the second letter, to enter a numeric character, press the key once more than the number of letters printed on it. e.g.: to enter 2, press the key four times. OK Press to initiate the search. The result of the search is displayed on the screen. 33 CALLS To scroll through the various solutions, press To read the corresponding number, press OK to send the call. Press and C Calling a second person during a conversation When in communication with an internal or external number, a second call can be made by number, by name, by programmed key or by using your personal directory (see p.57). You are then connected to the second correspondent and the first is automatically placed on hold. To cancel the second call and recover the first one: Single-line, press EnqOff Multi-line, hang up and then lift the handset. The first correspondent then calls back. Calling an associate (your secretary or colleague) Each terminal may have another line linked with it (an associate). To call an associate line quickly, dial the code for the "Associate call" function or press the corresponding programmed key. 34 Receiving a call The user is informed of an incoming call in five ways: by the ringer (if it is not deactivated), by the buzzer (if active (terminals GI and GC only)), by the screen, by a flashing line key symbol (multi-line terminal), by the flashing of the green LED on the top of the terminal. To pick up the call, press ON or the line key (multi-line terminal). Note: When a terminal is outside radio coverage or switched off, it is seen to be free by callers. Thus, in this situation, activate call forwarding (see p.64) or your overflow terminal (p.59). Receiving a second call during a conversation While in conversation, if a second incoming call is received, a beep is heard and the display indicates an incoming call. To pick up the call: On a single line terminal, dial the code for the "Consult call on hold" function. On a multi-line terminal, press the flashing line key. This will put you in communication with the second caller, and the first will automatically be placed on hold. 35 CALLS To recover the first correspondent: On a single-line terminal, press Broker On a multi-line terminal, press the corresponding line key. Transferring a call While a call is in progress, to transfer the call to another terminal: dial the transfer number directly and press (multi-line terminal) or hang up (single-line terminal). Note: Transfer between two outside calls is not generally possible (depends on country). Receiving a beep while a call is in progress While a call is in progress, audible beeps may be received. If repeated beeps are received, an internal caller or operator is trying to contact you. If only a single beep is heard, another external caller is attempting to contact you. Putting your caller on hold You are in conversation with an internal or external caller. You may want to put him on hold and recover the call later on the same terminal. 36 EnqOff Single-line terminal, To recover the call, press the same key. Multi-line terminal, press the line key for the call. The caller will hear the holding tone. To recover the call, press the line key again. Switching from one caller to another (broker calls) You are in conversation with one caller and another one is on hold. Single-line terminal, Broker Multi-line terminal, press the line keys corresponding to the calls, alternately. The screen indicates which correspondent is in conversation with you. Talking with two other people, internal and/or external, at the same time (conference call) When you begin a call to a second person, the first is placed on hold. For a conversation between three people, enter the code for the "3-party conference call" function or press the corresponding programmed key. Use the same procedure to cancel the conference; the first correspondent is then recovered and the second call is cut off. Note: During a conference call, if one of the correspondents hangs up, the other two remain in contact. 37 CALLS Note: If the call is not recovered within a certain time, you will automatically be called back. Parking a call While a call is in progress, an internal or outside correspondent can be placed on hold and then recovered on another terminal. Enter the code for the "Park call/retrieve" function or press the corresponding programmed key and dial the number of the terminal receiving the parking. Hang up. Your correspondent then hears the waiting melody or a holding tone. To recover the call, on the terminal receiving the parked call, press the corresponding key or dial the code for the "Park call/retrieve" function. Note: If the parked outside call is not recovered within a preset time (1mn30 by default), it is transferred to the operator. Preventing a call being placed on hold While a call is in progress, to prevent another call from being placed on hold, enter the code for the "Camp on control" function. The same procedure is used to cancel this function. Being called back automatically by an internal correspondent who is busy When calling an internal correspondent, the screen and a tone (or voice message) indicate that the correspondent is busy. You then have the "automatic call back" option - being called back automatically when the line is free. 38 Camping on an internal correspondent who is busy When calling an internal correspondent, the screen and a tone indicate that the correspondent is busy. To "camp on", enter the code for the "Camp on" function or press the corresponding programmed key. When your correspondent has finished his conversation, your call is automatically repeated. Requesting callback If your internal correspondent does not answer, a callback request can be left by entering the code for the "Call back request" function or pressing the corresponding programmed key. Answering a night service bell During periods of operator absence, outside calls may ring a night service bell. To pick up the call, enter the code for the "Night service answering" function or press the corresponding programmed key. 39 CALLS Enter the code for the "Call back request" function or press the corresponding programmed key. To cancel the request, dial the number of the correspondent and then hang up. Picking up a call on another terminal Press the corresponding programmed key or enter the code for the "Direct call pickup" function. Dial the number of the terminal that is ringing. The system can be programmed to protect some terminals against call pickup. If you are part of a pickup group From your own terminal, you can pick up a call to any terminal in the group. Press the corresponding programmed key or enter the code for the "Group call pickup" function. Calling from your personal directory To access your personal directory, press name in the directory. To scroll through the names, press To read the corresponding number, press OK To call the number, press A B The screen displays the first C and To exit from the directory without calling, press * To programme the directory, see p.57. ON 40 Calling using a programmed key CALLS The terminal programmable keys can be assigned to internal or external numbers, or to programmed functions *. Press the appropriate programmed key. Dialling is automatic. * To programme the keys, see p.52. Calling a number from the system directory Each terminal can access a system directory containing short outside numbers. Dial the short number directly. Intrusion into an internal conversation You call a terminal which is busy.
