Answering System 1339 · · · Installation Answering System Operation Remote Operation Installation Setting up the System 1. Install the Battery. Remove the battery cover on the left side of the unit by pressing in on the cover and sliding it down. Insert the battery, making sure that it is placed correctly then replace the cover. Steps 2 through 4 detail the system installation. Connect the line cord. Plug the end of the line cord into the TEL LINE jack at the rear of the unit, and plug the other end into a modular wall jack for your telephone line. Connect your telephone. (If you do not want to connect a telephone to the system, go to Step 4.) Plug you telephone set line cord into the TEL SET jack at the rear of the answering system. Connect the power cord. Plug the right-angle plug on the power cord into the answering system jack marked POWER. Plug the power transformer into an electrical outlet that is not controlled by a wall switch. 2. 3. 4. ! You should use only the power cord supplied with your answering system. If you need a replacement cord, call the Service Center at 1 800 222-3111. Formatting Digital Memory When you connect the unit to an electrical outlet, the system automatically begins formatting digital memory. This takes about 30 seconds. While the system is formatting memory, the Message Indicator Light flashes on and off. The Message Window begins to count down from 31 to 0. You cannot use any system features while the formatting routine is in progress. When the formatting of the unit's memory is completed, the Message Indicator Light stops flashing (but remains on) and the Message Window shows CL. The CL display blinks to indicate that you need to set the clock. Note: If you did not install a battery, or if the battery is low on power or installed incorrectly, the system alternates between the usual display and the message Lo. You should install a battery so that there is backup power to save messages in the event of a power failure. System Reset If the system does not record messages when memory is available, or otherwise malfunctions, press RESET. (The RESET button is on the right side of the unit and is recessed to prevent your pressing it accidentally.) Caution: When you press RESET, the system may begin the 30-second formatting routine described on this page. If this happens, the announcement and any message stored in memory are deleted. The Remote Access code also returns to the factory setting of 10. Answering System Operation Setting the clock The clock feature will record the day and time each message received. The clock needs to be set when CL is blinking in the Message Window. To set the clock: 1. Set the message VOLUME control to the middle. 2. Hold down CLOCK for about 2 seconds until you hear a day of the week (for example "Sunday"), then release CLOCK. The display in the Message Window changes from CL to a number that corresponds to the day of the week (1=Sunday, 2=Monday, and so on). 3. To set the day, hold down FORWARD or REPEAT until the number for the correct day is displayed, then release the button. You will hear the new day setting when you release the button. 4. After you hear the correct day setting, press and release CLOCK. You will hear an hour setting (for example, "Twelve AM") and the hour will be displayed in the Message Window. 5. To set the hour, hold down FORWARD or REPEAT until the number for the correct hour is displayed, then release the button. You will hear the new hour setting when you release the button. Make sure that the hour is correctly set for AM or PM. If it is not, hold down FORWARD to advance twelve hours. 6. After you hear the correct hour setting, press and release CLOCK. You will hear a minute setting (for example, "oh one") and the minute will be displayed in the Message Window (for example, "01") 7. To set the minute, hold down FORWARD or REPEAT until the numbers for the correct minute are displayed, then release the button. You will hear the new minute setting when you release the button. 8. After you hear the correct minute setting, press and release CLOCK. You will hear the complete day and time setting. If the settings are not correct, begin again at Step 2. Audible Clock To use your system as an "audible clock" or to check the clock setting, set the VOLUME control to the middle. Then, tap CLOCK to hear the current day and time setting. Recording Your Announcement Before using your new answering system, you should record an outgoing announcement. This is the announcement that callers will hear when the system answers a call. 1. Prepare your announcement. Example: "Hello. I can't come to the phone right now. Please leave your name, telephone number, and a short message after the beep. I will return your call as soon as I can. Thank you." Note: The maximum length of an announcement is 1 minute. A total of about 7 minutes of memory is shared between the outgoing announcement and all messages and memos. A short announcement will leave more memory for recording messages. 2. Hold down ANNC while recording your announcement. The system beeps once to indicate that it is recording from the microphone in the front of the unit. While you are recording, the Message Window shows the length of the announcement in seconds. Speak toward the front of the unit in a normal tone of voice. 3. 4. Release ANNC when you are finished. The unit beeps to indicate that it is no longer recording. If the recording was successful, the current message count (0 if you are using the system for the first time) shows in the Message Window. If the announcement was cut off or was unsuccessful for some other reason, the number in the Message Window blinks, to let you know that you need to try again. Playing Back Your Announcement To play back your announcement, tap (quickly press and release) ANNC. IF necessary, adjust the VOLUME control. Important: Be sure to release ANNC quickly. If you hold the button down for more than one second, the system erases the existing announcement and begins recording a new one. While you play back your announcement, the Message Window shows AP (Announcement Playback.) Message Volume Control Use the message VOLUME control to adjust the volume of the system's speaker. Slide the switch until you find a comfortable volume level. Setting System to Answer Calls After you have recorded your announcement, the Message Indicator Light should be on, indicating that the system is ready to answer calls. The Message Window shows the number of messages stored in memory (0 if no messages have been received). If the Message Indicator Light is not on, press and release ON/OFF to turn on the system. NOTE: To record callers' messages, the Message Indicator Light must be on and the MESSAGES switch on the left side of the unit set to YES When the system answers a call, the caller hears the announcement you recorded followed by a beep. While the system is taking a call, the Message Window displays --. After the beep, the system begins recording your caller's message. After a message is received, the Message Window shows the total number of messages stored and the Message Indicator Light blinks. Note: To conserve memory, messages are limited to a maximum of 1 minute each. If the caller is still speaking after 1 minute, is silent for more than 7 seconds, or if the system's memory runs out, the system beeps once and hangs up. Bypassing the Announcement Callers with touch-tone telephones can bypass your announcement by pressing * after the announcement begins. The system skips the rest of the announcement, beeps, and begins recording. No Answer Operation If you don't want your system to answer calls, press and release ON/OFF; the Message Indicator Light turns off. Note: The ON/OFF button does not affect any other answering system features. When you turn off the Automatic Answering feature, the system picks up calls only after 10 rings. It does not play the announcement; instead it beeps twice. You can then turn the system on if you are calling from a touch tone telephone. Announce Only You can set your system to play your announcement without recording messages. This feature is often used by businesses such as movie theaters and doctors' offices. 1. Set the MESSAGES switch to NO 2. Change your announcement if necessary. Example: "Hello. This is Chris. Sorry to miss your call, but I can't come to the phone right now. If you call back after nine o'clock in the morning, I'll be available to talk to you. Thanks." Note: In order for the system to answer calls, the Message Indicator Light must be on. When the system is set to answer calls without recording messages, the Message Window displays AO (Announce Only). When a call comes in, the system answers the call, plays your announcement, and then hangs up. When the Announcement Only feature is turned on, you can still access your answering machine if you are away from home (to change your announcement, turn the system on or off, or record a memo). See "Remote Operation". Screening your calls To screen your calls, set the system to answer calls. Adjust the VOLUME control so that you can hear the control so that you can hear the announcement and a caller's message on the system's built-in speaker. If you decide to take a call, lift the handset of any telephone on the same line. The system will stop recording and reset to answer calls. Note: If the announcement does not stop right away, press and release the telephone switchhook or press STOP. Ring Select To choose the number of times the phone rings before the system answers, set the RINGS switch to 2, 4, or TS (Toll Saver). · · · Set to 2 if you want the system to answer all calls on the second ring. Set to 4 if you want the system to answer all calls on the fourth ring. Set to TS if you want the system to answer calls on the second ring if you have messages and on the fourth ring if you do not have messages. Toll Saver Set the RINGS switch to TS (Toll Saver) when you will be calling from another location to check for messages. If you have messages waiting, the system will answer after two rings. If there are no messages, the phone will ring at least three times before the system answers. You can then hang up after the third ring to avoid paying long distance charges. Caution: The Toll Saver feature works only if the system is on and memory is not full. Otherwise, calls are answered after 10 rings. Message Indicator Displays The message Window and the Message Indicator Light tell you about the system's status. The Message Window shows the number of messages recorded, and also shows a one-or two-character code to give you information about the feature being used. The Message Indicator Light blinks slowly to indicate that you have messages waiting. The table below tells you how to interpret the information provided by these displays. To play all messages and memos, press and release PLAY. During message playback, the system announces the time and day that the message was received, and then plays the message. The Message Window shows the number of the message being played. The system beeps once after each message and announces " End of Messages" after the last message has been played. The following choices are available during message playback: · To repeat a message, tap REPEAT The system resumes playing at the beginning of the messages. · To replay an earlier message, tap REPEAT until the number of the message is displayed. · To search backward through a message (review), hold down REPEAT. The system beeps while the button is held down. To resume playing the message, release REPEAT. · To search forward through a message (cue), hold down FORWARD. The system beeps while the button is held down. To resume playing the message, release FORWARD. · To skip a message, tap FORWARD. The system stops playing, moves to the start of the next message, and resumes playing. The system advances one message each time you press FORWARD. · To pause during a message, press and release STOP. The system stops playing.
